Do I need to register to be at the event?
Nope! We’ve already registered you for this event!
What do I do if someone wants to join my group, but I don't feel like they would be a good fit?
You don't have to make that decision during the event. Have a welcoming conversation and gather their information by letting them scan the QR code on your table. Connect with a smallGROUPS staff member before confirming their placement. We want to help both you and the prospective member find the healthiest fit.
What if I fill all of my available spots early in the evening?
Once you've reached the number of people you're able to add, please let a smallGROUPS staff member know so we can update your availability and begin directing people toward other groups. We'd still love for you to remain through the end of the event since people you've already spoken with may return with additional questions…or you just might enjoy a great conversation later and make space for one more!
How will someone actually sign up for my group?
A QR code will be on your table with the registration form to request joining the group. You will receive a notification in your email when that happens. You have the ability to add them offically or remove them from the prospective member list.
Am I expected to accept everyone who is interested in my group?
No. We want this event to help people find a group that is a good fit for both the individual and the existing group. If you have concerns about a particular placement, please speak with a smallGROUPS staff member before making any commitments.
How many new people should I be prepared to add to my group?
Come prepared with the number of people your group can realistically and healthily accommodate. This should match the number you provided on your Facilitator Survey. You aren't expected to take more people than your group can reasonably handle.
Should my spouse or co-facilitator attend with me?
Having your spouse and co-facilitator with you could be very helpful. Prospective members will get a better sense of your group's personality when they can interact with more than one person representing it. And you might have several people at the same time wanting to hear about your group!!
What information should I be prepared to share about my group?
Be ready to clearly explain your meeting day and time, location/general area, frequency, current curriculum, typical meeting format, childcare situation, age/stage of life represented, and anything else that makes your group unique.
What should I say when someone walks up to my table?
Keep it relational! You don't need a sales pitch. Introduce yourself, ask their name, learn a little about what they're looking for, and then tell them about your group. The goal isn't to “sell” your group—it's to help them determine whether it might be a good fit.
Should I be trying to convince people to join my group?
No. Be welcoming and enthusiastic about your group, but remember that the goal of groupFINDER LIVE is to help people find the right group, not simply to fill every available seat. It's perfectly okay to recommend another group if you believe it would serve someone better.
What if someone asks me a question I don't know how to answer?
That's okay! The smallGROUPS staff will be available throughout the room. Grab one of us and we'll be happy to help.
What if someone comes to my table who was recommended to me by the smallGROUPS staff?
Treat the recommendation as a starting point, not an automatic placement. Spend some time getting to know them, answer their questions, and allow them to learn about your group. The recommendation simply means we saw something on their registration form that made us think your group could be worth exploring.
What if no one—or very few people—visit my group?
Don't be discouraged. Some groups will naturally receive more interest based on location, meeting night, demographics, childcare, or available space. Staff recommendations will also help us connect people with groups they may otherwise overlook.
Can I leave my table and talk with prospective members around the room?
In general, you should remain near your table so seekers can easily find you but you certainly don't need to stand frozen behind your cocktail table all night.
Should I bring anything besides information about my curriculum?
If you have a physical copy of the curriculum you’ll use or a sample workbook, bring it! Perhaps bringing a photo of your group too…anything simple that helps communicate what your group is like. We discourage elaborate displays because of the limited space on the cocktail-table!
Can I bring food, candy, giveaways, or other items for my table?
We recommend keeping all tables intentionally simple, but hey, a little candy never hurt anyone, right?
What if someone wants to join my group but can't attend our next meeting?
That's completely fine. If they scan the QR code, you will have their contact information and can communicate the rest of the schedule too. Missing the first meeting shouldn't prevent someone from expressing interest or joining.
What if someone with kids wants to join my group but we don’t have childcare at the group location?
Be clear that childcare at the group location isn’t an option. You can also let them know that the smallGROUPS Ministry helps pay for childcare (up to $15/hr). They would need to find their own babysitter, but this could possibly be one way to overcome the childcare issue they have.
When should I follow up with the people who sign up for my group?
Within 24-48 hours. That way every prospect receives a prompt response and nobody is wondering what happened!
What should my follow-up with a new person look like?
A simple introduction of yourself again, tell them you're glad they connected with you, confirm the next meeting date/time/location, tell them what to expect, and invite them to ask any questions before attending.
What happens if someone signs up for my group but never responds afterward?
We encourage you to make two reasonable attempts to connect, then notify smallGROUPS staff if you haven't received a response. That allows staff to follow up or potentially reopen the spot.
What happens after groupFINDER LIVE?
Any remaining openings that you have in your group will be placed on the online groupFINDER in mid-September.
